Ubi Self Tapes – Terms & Conditions & Privacy Policy
Effective Date: 9 March 2026
Welcome to Ubi Self Tapes. By booking or using our self-tape services, studio facilities, or related services (“Services”), you agree to these Terms & Conditions and Privacy Policy (“Terms”). If you do not agree, please do not use our Services.

1. About Ubi Self Tapes
We provide professional self-tape services, including:
• Studio hire
• Video recording
• Editing and file delivery
• Coaching and related tools
Important:
Ubi Self Tapes does not act as a talent agency and does not procure employment, auditions, or engagements.
2. Acceptance of Terms
• Booking or using our Services confirms that you have read and agree to these Terms.
• We may update these Terms at any time.
• Updates take effect immediately upon posting on our website.

3. Eligibility
• Our services are intended for actors and creative professionals.
• You must be 18 years or older to book independently.
• Anyone under 18 must be supervised by a parent or guardian.

4. Bookings & Studio Use

• Tube: Liverpool Street or Old Street
• Buses: 149 or 243
Please arrive a few minutes before your scheduled session. Early arrivals may need to wait nearby.
Lighting and camera setup are included within your session time.
Shoes & Studio Conduct
To help keep the studio clean:
• We ask that shoes are removed on entry.
• Exceptions are allowed for disability or personal preference.
Clients are expected to behave professionally and respectfully within the studio.
Allergies & Neurodivergent Needs
If you have any:
• allergies
• sensory sensitivities
• neurodivergent needs
please let us know ahead of your session so we can make your experience as comfortable and accessible as possible.
Scripts, Scenes & Autocue
Please send scripts or scenes in advance to:[info@ubiselftapes.com
If you require:
• an autocue
• a reader (male or female)
please let us know beforehand. We will do our best to accommodate requests but cannot guarantee availability.
Late Arrivals
• If a client arrives late to their scheduled session, the session will still end at the originally booked time.
• Additional time may be available depending on studio availability and will be charged according to our standard extra time rates.
5. Payments, Session Time & Extra Charges
Prices are based on session duration, and editing is included within the booked time.
If sessions run over time:
• First 10 minutes over: free
• After 10 minutes: charged in 30-minute blocks
Rates:
• £35 per 30 minutes (weekdays)
• £45 per 30 minutes (weekends)
Payments must be made using our accepted payment methods. Promotional offers or discounts may be subject to additional conditions.

6. Cancellations & Rescheduling
• Bookings must be cancelled or rescheduled at least 48 hours in advance for a full refund.
• Cancellations with less than 48 hours’ notice are non-refundable.
• Failure to attend a booked session will also be non-refundable.
Where possible, we will accommodate rescheduling requests with sufficient notice.
7. Editing, File Delivery & Client Responsibilities
Editing, resizing, and delivery via platforms such as:
• WeTransfer
• Tagmin
• Swiss Transfer
should take place within your booked session time.
If you wish to take raw footage, please bring appropriate storage such as:
• SD card
• Hard drive
• Laptop
Clients are encouraged to arrive prepared and ready to shoot to make the best use of session time.
File Transfers & Technical Issues
• While we take reasonable care to ensure files are recorded and delivered correctly, Ubi Self Tapes cannot guarantee the performance of third-party file transfer services such as WeTransfer, Tagmin, Swiss Transfer, or similar platforms.
• Clients are responsible for checking that files have been received successfully.
• We are not liable for delays or issues caused by third-party platforms, internet outages, or technical problems outside of our control.

8. User Content & Permissions
You retain full ownership of your self-tapes and materials.
By using our services, you grant Ubi Self Tapes a limited and non-exclusive licence to handle and process content solely for the purpose of:
• recording
• editing
• delivering your self-tapes
We do not sell or license your content to third parties.
Social Media Use
We may occasionally share:
• screenshots
• outtakes
• behind-the-scenes content
• finished self-tapes
on our social media only with your explicit permission.
If the project is under NDA or not yet released, we will never share material publicly.

9. Code of Conduct
Clients agree to:
• Use our services lawfully and professionally
• Respect studio property and equipment
• Treat staff and other clients respectfully
• Avoid disruptive, abusive, or unsafe behaviour
Right to Refuse Service
Ubi Self Tapes reserves the right to refuse or stop recording any material that is deemed inappropriate, unlawful, unsafe, or in breach of professional or studio standards. This includes, but is not limited to, material that may place staff, clients, or the studio environment at risk. In such circumstances, the session may be terminated without refund.
Failure to comply may result in termination of the session.
10. Liability & Disclaimers
Services are provided “as is.”
Ubi Self Tapes is not liable for:
• indirect damages
• incidental losses
• missed casting opportunities
Our liability is limited to the cost of the session booked.
We cannot guarantee audition results or casting outcomes.
11. Intellectual Property
All branding, graphics, logos, and materials created by Ubi Self Tapes remain our intellectual property.
They may not be reproduced or distributed without permission.
12. Termination
We reserve the right to:
• suspend services
• cancel bookings
if these Terms are violated or if services are misused.
Clients may discontinue using our services at any time.
13. Privacy Policy
Data We Collect
We may collect:
• Name
• Email address
• Phone number
• Address (for booking or invoicing)
• Booking and session records
• Content you provide (scripts, self-tapes, headshots)
We do not collect date of birth.
How We Use Your Data
Your data is used to:
• manage bookings and studio sessions
• record and deliver self-tapes
• communicate regarding sessions or enquiries
• maintain records and comply with legal obligations
• improve our services
Storage
Self-tapes and associated data are stored for 3 months after your session.
After this time, files are deleted unless you request extended storage.
Sharing
We only share your materials with people you request, such as:
• agents
• casting directors
• production teams
We will never share your content publicly without permission.
Trusted service providers (such as file-transfer platforms) may process data only for the purpose of delivering services.
Your Rights
You may request to:
• access your personal data
• correct your data
• delete your data

14. Governing Law
These Terms are governed by the laws of England and Wales.
Any disputes should first attempt to be resolved amicably before legal proceedings are pursued.
